Four emails and one social post

Pass Gallery closing emails

Four copy-paste emails tell clients that Pass Gallery closes on 31 October 2026; two of them send a new shoots.page link that opens with no client account. They cover not migrating, migrating to Pic-Time, moving before the deadline and resending after it, plus a short post for Instagram or Facebook.

How to use these

Copy a version, replace every {placeholder} with your own details and send it from your normal email address. For emails C and D you can also let shoots.page send the link: in the Share dialog, open Send to a client, enter the client's name and email and click Send email. The link arrives from notifications@shoots.page and replies go to you. Send any password separately either way.

To reach everyone, export Pass's client list first. Sales Campaigns, Visitor Emails, Download list gives one CSV of every client and visitor across all galleries, with the gallery on each row. Per-gallery User Activity exports show views and downloads, so you can write first to clients who never downloaded. The Pass Gallery export checklist has the details.

Why send it now

SLR Lounge called the client emails the part almost nobody planned for. One photographer who had used Pass since 2011 and had more than 1,500 galleries posted a polite heads-up on Instagram and Facebook offering to resend links, expecting maybe four replies. In their words, "Within two hours, my DMs were on fire." More than 20 people wrote in, "including clients from 2017." Many had downloaded only a few photos for print years earlier and left the rest in the gallery. SLR Lounge's advice on 9 September was to send the warning that week, not in the last week of October.

Timing matters most for Email A. In Pass galleries older than a year, the high-resolution photos must be unarchived first: a client who tries to download one gets a Retrieve Photos button and an email when the files are ready, typically within 4 to 15 hours. If a client has less than a day before 31 October, skip Email A and send Email C with a new link.

Email A: Download your gallery before 31 October

For photographers who are not migrating, while the Pass link still works.

Subject: Please download your photos before 31 October 2026

Hi {client name},

Your gallery from {shoot description / date} is hosted on Pass, which closes on 31 October 2026. After that date the link stops working, so please download your photos before then.

1. Open your gallery: {gallery link}
2. On a computer, click the download arrow at the top right, choose Download Full Gallery, then Download to Computer.
3. If Pass asks you to create an account, do that first: it won't let you download without one.
4. Click photos.zip to save the photos to your computer.

If you see Retrieve Photos, click it. Pass emails you when the files are ready, usually within 4 to 15 hours, so please start today.

Stuck, or short on time? Reply to this email and I'll send you a new link instead.

Best,
{your name / studio name}

Email B: Your gallery link still works

For photographers who migrated to Pic-Time.

Subject: Your photo gallery link still works

Hi {client name},

You may have heard that Pass, where your gallery from {shoot description / date} was hosted, closes on 31 October 2026. I've moved my galleries to Pic-Time, so your link keeps working:

{gallery link}

The same link now opens your gallery on Pic-Time. There's nothing to update or bookmark.

While you're there, please download a full copy and keep it on your own computer or phone. A gallery link is a way to deliver photos, not a place to store them forever.

Best,
{your name / studio name}

Email C: Your photos have a new home

For photographers who moved delivery to a new gallery, sent before 31 October.

Subject: A new link for your photos from {shoot description / date}

Hi {client name},

Your current gallery is hosted on Pass, which closes on 31 October 2026, and the old link stops working after that date. I've set up your photos in a new gallery:

{new gallery link}

Open it on your phone or computer to browse and download. You don't need an account or an app.

Password: I'll send it to you separately (delete this line if you didn't set a password)
Link open until: {expiry date} (delete this line if you didn't set an expiry)

Please save a copy of your photos on your own device while you're there.

Best,
{your name / studio name}

Email D: The old link has closed, here is a new one

For after 31 October, to clients who write in or whom you contact first.

Subject: New link for your photos from {shoot description / date}

Hi {client name},

Here's a fresh link to your photos from {shoot description / date}:

{new gallery link}

The old link no longer opens. My previous gallery host, Pass, closed at the end of October 2026, so I've put your photos in a new gallery for you.

Open the link on your phone or computer and download the full set. There's no account to create.

Password: I'll send it in a separate message (delete this line if you didn't set a password)
This link stays open until {expiry date} (delete this line if you didn't set an expiry)

Once you have them, please keep a copy in two places, for example your computer and an external or cloud drive.

Thanks for your patience,
{your name / studio name}

Short post for Instagram or Facebook

For past clients whose email addresses may have changed.

Past clients: my old gallery host, Pass, closes on 31 October 2026, and my old gallery links stop opening after that. If we worked together and you never downloaded your full gallery, send me a message with your name and the date of your shoot, and I'll send you a new link. Once you have your photos, keep a copy somewhere safe.
